Privacy Policy

This policy explains what personal information we collect, why we collect it and the choices you have. It covers zenaa.co.uk and the Zenaa Online platform at online.zenaa.co.uk.
1. Who We Are
Zenaa is run by Katie Hodge, trading as Zenaa. We are the “data controller” for the information described here, which means we decide how and why it is used. You can reach us at info@zenaa.co.uk or on 07525 174 584.
2. What We Collect
- Your name, email address and phone number, when you enquire, register interest, join the mailing list or make a booking.
- Booking details, such as room choice and travel plans.
- Health and dietary information you choose to share, such as allergies, injuries, medical conditions and pregnancy, so that we can look after you safely.
- Payment records. Card details are entered directly with Stripe. We never see or store your full card number.
- Zenaa Online account details, including your email address, an encrypted password and which classes you have watched.
- Messages you send us, and applications to teach or work with us.
- Website and email usage data, including your IP address, the pages you view, how you found us and whether you opened our emails.
3. Why We Use It, And Our Legal Basis
- To take your booking, run the retreat and provide your Zenaa Online account. Basis: our contract with you.
- To cater for allergies, dietary needs, injuries and medical conditions. Basis: your explicit consent. You can withdraw it at any time, although this may limit what we can safely accommodate.
- To take payment and keep financial records. Basis: our contract with you, and our legal obligation to keep accounts.
- To answer your enquiries, keep our sites secure and improve what we offer. Basis: our legitimate interests.
- To send marketing emails. Basis: your consent. Every email has an unsubscribe link.
- For analytics and advertising. Basis: your consent, given through our cookie banner.
- To photograph and film retreats for our website and social media. Basis: our legitimate interests. Please tell us in writing when you book if you would prefer not to appear, and we will make sure you are not photographed.
4. Cookies
Cookies are small files stored on your device. Some are essential: they make the site work, keep you signed in to Zenaa Online and remember the cookie choice you made. Others are for analytics (Google Analytics) and advertising (the Meta Pixel). These load only if you choose Accept All on our cookie banner. If you choose Reject All, they are never loaded.

You can also block or delete cookies through your browser settings. Some pages embed content from other companies, such as our sign-up forms, checkout and video, and this may set its own cookies.
5. Who We Share It With
We share information only where it is needed to run Zenaa. Our providers include Netlify and Cloudflare (hosting), Supabase (Zenaa Online accounts), ThriveCart and Stripe (checkout and payments), Flodesk (email), Airtable (booking and application forms), Google (analytics), Meta (advertising) and Mux (video). We also share what is necessary with retreat venues, caterers and collaborating teachers, with our accountant, and with the authorities where the law requires it.
We do not sell or rent your personal information. Our providers are bound by contract to use it only on our instructions and to keep it secure.
6. International Transfers
Some of the companies we use are based outside the UK, mainly in the United States, and our contracts with them include transfer terms approved under UK law. Separately, when you book a retreat abroad we share limited details with the venue in the country where that retreat takes place, because it is necessary to deliver the retreat you have booked. You can ask us for more detail about either.
7. How Long We Keep It
We keep personal information only for as long as we need it for the purpose we collected it, and then delete it. In deciding how long that is, we consider how long our relationship with you lasts, any legal or tax obligation to keep records, and whether we may need it to deal with an insurance or legal claim. You can ask us at any time how long we are keeping something, and you can ask us to delete it.
8. Your Rights
You have the right to ask for a copy of the information we hold about you, to have it corrected or deleted, to restrict or object to how we use it, to receive it in a portable format, and to withdraw your consent at any time. To do any of these, email info@zenaa.co.uk. There is no charge and we will respond within one month.
If you are unhappy with how we have handled your information, please tell us so that we can put it right. You can also complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint or on 0303 123 1113.
